Orchestrate Care ("Orchestrate," "we," "us") provides a healthcare device and ticket management platform used by healthcare organizations and their staff. This policy describes what information the Orchestrate iOS app collects, how it is used, and the choices you have. It applies to the Orchestrate mobile app and the Orchestrate service it connects to.
Orchestrate is a workplace tool. Your account is typically created and managed by your employer or the organization that invited you, and information you enter into Orchestrate is visible to other members of your organization according to your organization's settings.
Information we collect
Account and profile information. When your account is created — by you or by an administrator at your organization — we collect your name, email address, phone number, job title, department, and organization. This information identifies you within your organization and appears alongside work you do in the app, such as tickets you file or messages you send.
Content you create. We collect the content you submit through the app: service tickets, comments and messages, device and inventory records, tray and project records, and photo or video attachments you choose to upload. This content is stored on our servers and shared with members of your organization.
Device and technical information. If you enable notifications, we collect your device's push notification token so we can deliver alerts through Apple's push notification service. Our servers also receive standard technical information with each request, such as your IP address and app version, which we use for security, troubleshooting, and to tell you when an app update is required.
What we do not collect. The app contains no advertising, no third-party analytics, and no tracking. We do not track you across other companies' apps or websites, and we do not sell your personal information.
Device permissions
The app requests certain permissions only when a feature needs them. All are optional:
- Camera — to scan QR codes on equipment and to capture photos or videos for attachments. QR codes are processed on your device.
- Photo library — to let you choose existing photos or videos to attach.
- Microphone — to record audio when you capture video attachments.
- Notifications — to alert you about tickets, messages, and other activity in your organization.
You can change any of these at any time in iOS Settings.
How we use information
We use the information described above to operate the service: authenticating you, showing your profile to your organization, syncing tickets, inventory, and messages, delivering notifications, providing support, keeping the service secure, and meeting our legal obligations. We do not use your information for advertising.
How information is shared
- With your organization. Orchestrate is an organizational tool: your profile and the content you create are visible to other members of your organization according to its configuration.
- With service providers. We use a small number of providers to run the service, including Auth0 (Okta) for sign-in and Apple for push notification delivery. These providers process your information only to provide their service to us.
- For legal reasons. We may disclose information if required by law or to protect the rights, safety, or security of Orchestrate, our users, or others.
- Business transfers. If Orchestrate is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
We do not sell or rent personal information, and we do not share it with third parties for their own marketing.
Information stored on your device
The app stores a short list of items you recently viewed on your device to make navigation faster, and stores your sign-in credentials securely in the iOS Keychain. Signing out or deleting the app removes them.
Data retention and account deletion
We retain your information for as long as your account is active or as needed to provide the service to your organization.
You can permanently delete your account from within the app: Profile → Delete Account. Deletion is permanent — your profile and access are removed and cannot be recovered, and any subscription you pay for yourself is canceled immediately. Content that belongs to your organization's records (for example, tickets your organization needs for its own operations) may be retained by the organization in accordance with its policies and applicable law.
Security
We protect your information using industry-standard measures, including encryption in transit (TLS) for all communication between the app and our servers, token-based authentication, and access controls that limit information to your organization. No system is perfectly secure, but we work to protect your information and to promptly address any issue we discover.
Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, or to object to or restrict certain processing. You can view and manage most of your profile information directly in the app, delete your account as described above, and contact us for anything else. If your account is managed by your organization, we may direct some requests to your organization's administrator, since it controls the workspace.
Children's privacy
Orchestrate is a workplace tool intended for adults. It is not directed at children, and we do not knowingly collect personal information from anyone under 16.
Changes to this policy
We may update this policy from time to time. If we make material changes, we will notify you in the app or by other reasonable means, and update the effective date above.
